This policy explains how New Medical School Australia (NewMed) collects, uses, discloses and protects personal information, including the information held in the student information system used to manage applications and enrolment.

NewMed collects, uses, discloses and handles personal information in accordance with the Privacy Act 1988 (Cth) and other applicable Australian privacy and data protection laws.

Information we collect

  • Your name and contact details, including email address, telephone number and postal address;
  • Your date of birth, gender, citizenship and residency status;
  • Government-issued photo identification you provide to verify your identity;
  • Your education history, transcripts and academic results;
  • Documents you upload in support of an application or enrolment;
  • Records of your dealings with NewMed, including correspondence, application progress and interview results; and
  • Technical information recorded by our systems, such as IP address and the pages requested.

How we use information

NewMed uses personal information to assess and process applications, to administer enrolment and study, to communicate with you about your application or studies, to operate and secure its systems, and to meet legal, regulatory and accreditation obligations.

SMS and text messaging

Where you have given consent, NewMed sends text messages to your mobile number. The following applies to that messaging:

  • Messages are sent to a mobile number only after express consent has been given for that number, either by agreeing on screen or by agreeing to a statement read aloud to you by staff. The exact wording you agreed to is recorded with your consent.
  • Messages consist of one-time verification codes, status updates and reminders. Message frequency varies.
  • Message and data rates may apply. Charges are set by your mobile carrier and are your responsibility.
  • Reply STOP to any message to stop receiving messages, or HELP for help.
  • Mobile telephone numbers and SMS consent are never sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. Numbers are disclosed only to the messaging provider that delivers the message on our behalf, and only for that purpose.
  • Consenting to text messages is not a condition of applying, of enrolling, or of any purchase.

Disclosure

NewMed discloses personal information to service providers engaged to support the application and enrolment process — including identity-verification, interview-administration, messaging and applicant-correspondence platforms. These providers act under contract and handle only the information necessary for their function. NewMed also discloses information where it is required or authorised by law. NewMed does not sell personal information.

Retention and security

Personal information is kept only as long as needed for the purposes described above and to meet record-keeping obligations. NewMed takes reasonable technical and organisational measures to protect it against loss, misuse and unauthorised access, including encryption in transit, access controls and multi-factor authentication for staff accounts. No system can be guaranteed completely secure.

Accessing and correcting your information

You may ask for a copy of the personal information NewMed holds about you, and ask that anything inaccurate, out of date or incomplete be corrected. Make the request through the contact form below, describing which information you are asking about. NewMed will confirm your identity before releasing anything, and will tell you if it cannot give access or make a correction, and the reason why.

Making a privacy complaint

If you believe your personal information has been mishandled, or you are dissatisfied with how a request above was dealt with, you may complain through the same contact form, describing what happened. NewMed will investigate and respond to you directly. If you are not satisfied with the response, you may refer the complaint to the Office of the Australian Information Commissioner.

Your choices

If you do not provide requested information, NewMed may not be able to process your application. You may stop text messages at any time by replying STOP.

This policy may be updated from time to time. The date at the top of this page shows when it was last revised.
